Welcome to the Cancellation Policy of Goa Thrill Holidays. We understand that travel plans can change due to various reasons, and sometimes cancellations become necessary. This policy outlines the terms, conditions, procedures, and charges associated with cancelling your booking with us.

This Cancellation Policy applies to all tour packages, activity bookings, hotel reservations, transportation services, and any other travel-related services booked through Goa Thrill Holidays via our website, phone, email, WhatsApp, or in person.

Important Notice: Please read this Cancellation Policy carefully before confirming your booking. By proceeding with a booking, you acknowledge and accept the terms outlined in this policy. We recommend purchasing travel insurance to protect against unforeseen cancellation circumstances.

2. General Cancellation Terms

2.1 Cancellation Request Requirements

  • Written Request Mandatory: All cancellations must be submitted in writing via email to info@goathrillholidays.com
  • No Verbal Cancellations: Phone calls or verbal cancellations are not accepted
  • Required Information: Booking reference number, full name, contact details, travel dates, reason for cancellation
  • Acknowledgment: We will send cancellation acknowledgment within 24 hours
  • Effective Date: Cancellation date is when we receive and acknowledge your written request

2.2 Who Can Cancel

  • Primary booking holder (person whose name is on the booking)
  • Authorized representative with written authorization from booking holder
  • Cancellation request must come from registered email address or verified contact
  • Group bookings: Only group leader or primary contact can initiate cancellation

2.3 Cancellation Processing Time

  • Acknowledgment within 24 hours of receiving request
  • Cancellation processing completed within 2-3 business days
  • Refund calculation and approval within 5 business days
  • Refund transfer within 7-10 business days (as per payment method)

3. Tour Package Cancellation Charges

Cancellation charges are calculated based on the number of days before the scheduled travel date. The charges are applicable on the total package cost (including all taxes and fees).

3.2 Peak Season Cancellation (December 20 - January 10)

Peak Season Notice: Different cancellation charges apply during peak season due to high demand and limited availability.

4. Activity Booking Cancellation

4.1 Water Sports and Adventure Activities

4.2 Weather-Related Activity Cancellation

  • By Customer: If you cancel due to weather concerns, standard cancellation charges apply
  • By Operator: If activity cancelled by operator due to unsafe weather, 100% refund or reschedule option
  • Rescheduling: Free rescheduling available for weather cancellations (subject to availability)
  • No-Show: If you don't show up despite activity being available, no refund

5. Hotel Accommodation Cancellation

5.1 Standalone Hotel Bookings

  • Hotel cancellation policies vary by property and season
  • Most hotels allow free cancellation up to 3-7 days before check-in
  • Peak season bookings may have stricter cancellation terms
  • Non-refundable rate bookings cannot be cancelled for refund
  • Specific hotel policy will be communicated at time of booking

5.2 Hotels Included in Package

  • Follow the overall package cancellation policy (Section 3)
  • Individual hotel cancellation within package not permitted
  • Hotel changes subject to availability and price difference

6. Transportation Services Cancellation

6.1 Private Vehicle Bookings

  • 24+ hours notice: 10% cancellation charges
  • 12-24 hours notice: 25% cancellation charges
  • Less than 12 hours: 50% cancellation charges
  • No-show: 100% charges (no refund)

6.2 Airport/Railway Transfers

  • Minimum 6 hours advance notice required for cancellation
  • Cancellation charges: 25% of transfer cost
  • Less than 6 hours notice: 50% cancellation charges
  • Last-minute cancellations or no-show: 100% charges

7. Group Booking Cancellation

7.1 Complete Group Cancellation

  • Follow standard cancellation charges based on timeframe
  • Full group cancellation requires written request from group leader
  • Refund processed to original payment account

7.2 Partial Group Cancellation

  • Reduction up to 20%: No change in per-person pricing
  • Reduction 20-40%: Per-person price may increase by up to 15%
  • Reduction more than 40%: Pricing will be recalculated for remaining group
  • Cancelled members subject to individual cancellation charges
  • Remaining group members must agree to continue with revised pricing

7.3 Minimum Group Size

  • If group falls below minimum required size (usually 10 persons), entire booking may be cancelled
  • Alternative: Remaining members pay revised higher pricing
  • We will provide options and pricing within 48 hours of partial cancellation request

8. Special Cancellation Scenarios

8.1 Medical Emergency Cancellation

  • Must provide valid medical certificate from registered doctor/hospital
  • Medical certificate must be submitted within 48 hours of cancellation
  • Reduced cancellation charges may apply at our discretion (usually 50% waiver)
  • Original medical documents required (not photocopies)
  • Travel insurance claim may provide better coverage

8.2 Death in Family

  • Death certificate must be provided
  • Relationship proof required (immediate family only)
  • Standard cancellation charges reduced by 50%
  • Or free rescheduling option within 6 months

8.3 Force Majeure Events

Force majeure includes natural disasters, war, pandemics, government restrictions, etc.

  • Travel Prohibited by Government: 100% refund minus non-recoverable costs
  • Destination Unsafe: Reschedule without penalty or refund minus actual costs
  • Services Unavailable: Full refund or alternative arrangements
  • Lockdown/Travel Ban: Free date change or full refund (excluding third-party non-refundable costs)

8.4 Visa Rejection

  • Applicable only for international bookings requiring visa
  • Official visa rejection letter must be provided
  • Standard cancellation charges apply (based on timeframe)
  • Visa fees are non-refundable
  • Recommendation: Apply for visa before making final payment

9. Cancellation by Goa Thrill Holidays

9.1 Company-Initiated Cancellation

We reserve the right to cancel bookings in the following situations:

  • Force majeure events making travel impossible or unsafe
  • Minimum group size not met
  • Service providers unable to deliver (hotels, transport, etc.)
  • Customer misconduct or violation of terms
  • Non-payment of balance amount by due date

9.2 Refund in Case of Company Cancellation

  • Due to Force Majeure: 100% refund minus non-recoverable costs incurred
  • Due to Service Failure: 100% full refund
  • Due to Customer Misconduct: No refund
  • Due to Non-Payment: Advance payment forfeited; no refund
  • Alternative options may be offered (rescheduling, different packages)

9.3 Alternative Arrangements

  • We will make best efforts to provide alternative arrangements of similar standard
  • If alternatives acceptable, no cancellation or refund required
  • If quality/price differs significantly, customer may choose refund
  • Notification provided as early as possible (minimum 48 hours when possible)

10. No-Show Policy

No-Show = 100% Charges: If you fail to show up for your tour, activity, or any service without prior cancellation, you will be charged 100% of the booking amount with no refund.

  • No-show defined as failing to appear without cancellation notice
  • Applies to tour start date, activity time, hotel check-in, vehicle pickup, etc.
  • No refund will be processed for no-show situations
  • Grace period: 30 minutes for activities; 2 hours for hotel check-in
  • After grace period, considered no-show
  • If you anticipate being late, inform us immediately

11. Rescheduling vs Cancellation

11.1 Rescheduling Benefits

Instead of cancelling, consider rescheduling your booking:

  • Lower charges compared to cancellation
  • Retain most or all of your paid amount
  • Flexibility to travel at a better time
  • Subject to availability of services

  • Peak season bookings may not be rescheduled to peak dates
  • Only one free reschedule allowed; subsequent changes incur charges

12. Non-Refundable Items

The following items are non-refundable under all cancellation scenarios:

  • Payment Processing Fees: Credit card charges, payment gateway fees
  • Administrative Charges: Booking fees, service charges
  • Third-Party Non-Refundable Costs: Airline tickets, special hotel bookings, visa fees
  • Travel Insurance: Insurance premiums already paid
  • Special Arrangements: Custom experiences, exclusive access, special permits
  • Early Bird Discounts: Promotional discounts may be forfeited on cancellation
